Cosmos for Humanity is a non-profit organization registered in Switzerland.

We respect your right to privacy and recognize the trust you place in us through your dealings with us. As such, we do everything in our power to preserve this trust. Our staff are employed on the basis that they will protect your information. This is our personal standard. By law and in accordance with the General Data Protection Regulation (GDPR), your privacy rights are also protected. The law imposes strict requirements on us to treat the information you give us confidentially. The information you provide remains private and is only used for the purposes described below.

Applicable from June 24, 2024.
Cosmos for Humanity (hereinafter Cosmos for Humanity, "we", "us" or "our") undertakes to process all personal data (hereinafter "personal data") collected through our website and portals (hereinafter "portals") in accordance with Swiss data protection legislation and to take appropriate security measures to protect such data against unauthorized access. In this data protection declaration, we inform you in particular about the personal data that is collected and processed in connection with the use of the portals, the purposes for which it is used, the persons to whom it may be passed on and your rights in connection with the use of your personal data by Cosmos for Humanity. Personal data is any information relating to an identified or identifiable natural or legal person, such as surname, first name, address, e-mail address, date of birth or telephone number.

1) Who is responsible for your personal data?

Cosmos for Humanity determines the purposes and means of processing your personal data and is therefore responsible for the processing and use of your personal data in accordance with this privacy statement. 2) How do we handle personal data?
All personal data collected via the website is processed in accordance with Swiss data protection law. We collect and process personal data with care and for the purposes described in this data protection declaration. In accordance with applicable law, we may also use your personal data in ways other than those described in this data protection declaration. In such cases, we will provide you with specific data protection statements or communications at the time of collection and, where appropriate, seek your consent. We will always endeavour, as far as is reasonably possible, to collect information in anonymous or pseudonymised form so that your identity cannot be identified.

3) What personal data do we collect and for what purposes?
3.1 Personal data automatically transmitted when using the portal
Cosmos for Humanity collects and stores information that your browser automatically transmits to us in "server log files" when you visit our website. The data is collected on the basis of your willingness and interest in visiting our website and our legitimate interests in operating the website. This may include the following data:
- Browser type and version;
- Operating systems used;
- Referrer URL (the previously visited website);
- Host name of the computer accessing the site;
- Date and time of server request;
- Internet protocol address (IP address);
- Amount of data transmitted;
- Other data and similar information used to prevent risks in the event of an attack on our computer systems.
This personal data is not cross-referenced with other personal data and is kept separate from any other personal data transmitted by the user. It is deleted by us after 24 months at the latest.
Cosmos for Humanity uses automatically collected personal data for the following purposes:
- to enable the display, operation and proper functioning of the portal
- to ensure system stability and security

- for statistical purposes in the event of an attack on the network infrastructure on which the website is made available


3.2 Personal data provided by the user
Cosmos for Humanity collects and processes personal data voluntarily submitted by the user via an online form directly on the portal, via our contact e-mail address, via any other applications linked to the portal, by telephone or by any other means. This information includes, for example, the following personal data:
- Name, first name, postal address, e-mail address, telephone number, date of birth, gender.
- Your message or request
- If the user is applying for volunteer work (for international campaigns or in Switzerland) or for other support services or products, further information may be requested and passed on, e.g. qualifications and previous experience in similar fields, information on health, personal motivation, etc. This information may also be used to contact the user.

The provision of such personal data is expressly voluntary. However, without this personal data, we will not be able to provide the services requested by the user with the desired quality, or at all, or to respond to requests.
Cosmos for Humanity uses the personal data provided by the user for the following purposes:
- to provide, maintain, protect and optimize the services and information we offer
- to communicate with you and provide you with the best possible personalized information you require from us (e.g. about our work)
- to provide you with opportunities to participate in and support our work and information and, based on your profile, to offer you personalized services and information that may be of interest to you
- enable you to apply for voluntary work or other support for our work, e.g. donations
- to offer, promote and make available for sale products from our online store
- to comply with legal or other regulatory requirements and internal rules
- to establish, exercise and/or defend actual or potential legal claims, investigations or similar proceedings
- for other legitimate purposes, if such processing arises from the circumstances or was indicated at the time of collection

 

4) On what legal basis do we process your personal data?
The processing of personal data is based on the following legal grounds:
- your consent, only if it can be revoked at any time (e.g. when you sign up for our newsletter and other marketing communications)
- for the performance of a contract with you or for the intention of entering into a contract with you (e.g. when purchasing a product)
- to comply with a legal obligation (e.g. for tax purposes or for the purposes of an investigation or legal proceedings) or
- to defend our legitimate interests (e.g. to protect and secure our services, systems, assets; to comply with our legal, regulatory and contractual obligations; to assert, exercise or defend legal claims; to maintain and organize our business efficiently; to improve and develop our services and to sell and market our services).
If processing is based on your consent or our legitimate interests, you may withdraw your consent or object to such processing at any time by contacting us directly at claire.rgpd@cosmosforhumanity.org. Please note, however, that withdrawing your consent does not affect the legitimacy of the processing based on consent prior to its withdrawal.

5) With whom do we share your personal data?
Cosmos for Humanity takes the necessary measures to ensure that only our authorized employees and auxiliaries with the necessary knowledge have access to your personal data in order to achieve the purposes for which your personal data was collected.
We may pass on your personal data to the following categories of possible recipients, in accordance with the purposes and legal bases for processing described above, insofar as this is necessary for the intended data processing:
- To our umbrella organization Cosmos for Humanity, based in Switzerland (rue de la côte 76, 2000 Neuchâtel) or to Cosmos for Humanity organizations in other countries.
- Service providers who process personal data on behalf of and on the instructions of Cosmos for Humanity (so-called subcontractors, e.g. in the fields of IT, accounting, hosting and support).
- customers, partners, suppliers, insurers and other business partners
- News agencies, the public, including visitors to the Group's websites and social media;
- Partner organizations, associations and other bodies;
- Courts, conciliation bodies, law enforcement authorities, supervisory authorities, lawyers and other parties to potential or actual legal proceedings, where necessary to comply with the law or to establish, exercise or defend legal rights or claims.
We select our partners and subcontractors with care and only when we have sufficient guarantees that they have appropriate technical and organizational measures in place, in accordance with legal requirements. Our subcontractors are subject to confidentiality requirements and may only use your personal data to the extent necessary to achieve the purpose for which your personal data was collected, unless otherwise required by law.

6) Transfer of personal data outside the EEA
Personal data collected via our website is stored worldwide, including in Europe and the United States. In addition, we may transfer, store and process your personal data at data sites around the world, for example where our third-party suppliers or partners are located. Accordingly, we may transfer your personal data outside the European Economic Area (EEA) if this is necessary for the data processing described in this Privacy Statement, in accordance with applicable law.
Where data is transferred to countries that do not guarantee an adequate level of protection, we ensure adequate data protection by taking appropriate safeguards, such as contractual safeguards (e.g. on the basis of EU standard clauses), on the basis of binding corporate rules, the transfer of data in accordance with your explicit consent, for the conclusion or performance of a contract with you, or in connection with the establishment, exercise or defense of legal claims. 7) How long do we keep information about you?
In principle, personal data is deleted as soon as it is no longer required to fulfil the purpose for which it was collected, unless longer retention is necessary to fulfil legal obligations (e.g. retention and documentation obligations), contractual or pre-contractual obligations or legitimate business interests on our part (e.g. to assert, exercise or defend legal claims).
On this basis, we generally process personal data in compliance with the following rules and obligations:
- Personal data that you automatically transmit to us when using our portal (see point 3.1.) for the purposes of displaying, operating and ensuring the proper functioning of the portal will be deleted within 24 months.
- Personal data which you have transmitted to us in connection with the use of our services and products offered on our portal, or which you have communicated to us in any other way via the electronic contact address (see point 3.2.), are normally stored by us until you ask us to delete them, revoke your consent to their storage or the purpose of the data storage has become obsolete (e.g. after your request has been processed, ....).
- For contract-related personal data, e.g. voluntary work within an association (including business documents and communications), we store personal data for as long as the contractual relationship exists, and then for ten years after the contractual relationship has ended, unless (i) in a particular case, a shorter or longer legal retention obligation applies, (ii) retention is necessary for reasons of evidence or for another valid reason under applicable law, or (iii) deletion of the data is necessary earlier (e.g. because the data is no longer required or we need to delete the relevant data).

When you access or use this site, we may place "cookies" - small text files - or similar devices on your computer. We use these cookies to recognize you as a site user, to adapt content, to improve site performance and to make the site more user-friendly.


a) Categories of cookies we use
Depending on their function and use, the cookies we use can be classified into the following categories: functional cookies, performance cookies and advertising cookies.
- Functional cookies: these cookies serve a multitude of purposes for the presentation, functionality and performance of a website and, in particular, to enhance visitors' experience and enjoyment of the website. b) Google Analytics
Cosmos for Humanity uses the Google Analytics service on its website, which is operated by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. The cookies used by Google Analytics are stored on your computer and enable your use of the website to be analyzed.
We use Google Analytics on the basis of our legitimate interests to analyze and regularly improve our website, as well as to regularly improve our offer thanks to the statistics obtained and to make it more interesting for you. The use of Google Analytics is also based on your consent to the tracking of your browsing behavior on our web pages and its analytical evaluation.

The information generated by the cookie about your use of this website is generally transferred to a Google server in the USA and stored there. These cookies may contain, for example, the following information: IP address, number of visits, date and time of visit, duration of visit, your access page from which you use the website (referring URL), pages visited on our website, browser type/version and operating system used. Google uses this information on our behalf, as we have a legitimate interest in analyzing user behavior in order to optimize our website offerings and advertising. c) Google Maps
This website uses the Google Maps API, a mapping service provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. This allows us to display interactive maps directly on the website and enables you to use the map function conveniently.
The legal basis for the processing arises from your consent on the basis of your voluntary indications for the creation of a map and from our legitimate interests in the representation of our location as well as in the easy location of the place we have indicated on the website.
When you use Google Maps, information about your use of our website, including your IP address, may be transmitted to and stored by Google on servers in the United States. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf.

Google will not associate your IP address with any other data held by Google. However, it may be technically possible for Google to identify at least some users on the basis of the data received. It is possible that personal data and personality profiles of website users may be processed by Google for other purposes, over which we do not and cannot have any influence.  
You can deactivate Google Maps and prevent the transmission of data to Google by deactivating JavaScript in your browser. Please note, however, that in this case you will not be able to use the map display.

9) Social media plug-ins
We use the social plug-ins below on our website in order to publicize our association. The underlying advertising purpose is to be considered a legitimate interest within the meaning of Art. 6, para. 1, let. f GDPR and consists of keeping in touch with our supporters and community and ensuring a regular flow of information. Responsibility for data protection-compliant operation must be guaranteed by their respective suppliers. Data processing in connection with these plug-ins takes place when you use these plug-ins with your consent.
If you use the services of these social networks independently or in connection with our website, the social networks evaluate your use of the plug-in. In this case, information about the plug-in is transmitted to the social networks.

a) Facebook
Our website uses plug-ins from the Facebook social network, offered by Meta Platforms, Inc, 1601 Willow Road Menlo Park, CA 94025, USA. Facebook plug-ins are identified by a Facebook logo or by the complement "Like" or "Share". When you visit a page on our website containing such a plug-in, your browser establishes a direct connection with Facebook's servers. The content of the plug-in is transmitted directly by Facebook to your browser and integrated into the page.
Thanks to this integration, Facebook receives the information that your browser has consulted the corresponding page on our website, even if you do not have a Facebook profile or are not logged in to Facebook at the time. This information (including your IP address) is transmitted directly by your browser to a Facebook server in the USA and stored there.
If you are logged in to Facebook, Facebook can directly attribute your visit to our website to your Facebook profile. Our website uses the Instagram social network plug-in, offered by Meta Platforms, Inc, 1601 Willow Road Menlo Park, CA 94025, USA.
Data is only sent to the social media provider when the user activates the social media plug-ins by clicking on the selected plug-in. The user can therefore choose when to activate them. In this case, Meta may establish a direct connection with the user during his/her visit to the website, enabling Meta to learn about the user's visit and analyze the corresponding information. Plug-ins from the social network LinkedIn Corporation, 1000 West Maude Avenue Sunnyvale, California 94085, USA, are installed on our website. You can recognize the LinkedIn plug-in ("LinkedIn Recommended" button) by the LinkedIn logo. When you visit a page on our website that contains such a plug-in, a direct connection is established between your browser and the LinkedIn server. LinkedIn thus receives the information that you have visited our site, along with your IP address. If you click on the link to our YouTube profile, you will be redirected to the external YouTube site. From this point on, YouTube's data protection guidelines apply. YouTube may collect data about your visit, particularly if you are simultaneously logged in to your YouTube or Google account.
The collection and use of data by YouTube is carried out in accordance with Google's privacy policy. 10) Communication by e-mail and newsletter for commercial purposes
When you subscribe to our newsletter, we use your e-mail address to send you information about our services and other commercial communications (e.g. announcements of events, competitions, promotions and surveys) that may be of interest to you. For security reasons, we use the double opt-in procedure for newsletter subscriptions. Once you have registered, we send a confirmation e-mail to the e-mail address you gave when you registered, containing a link that you must click to definitively confirm that the newsletter is to be sent. You can unsubscribe from these newsletter e-mails at any time by clicking on the link marked "Unsubscribe from this list" at the end of each e-mail or by contacting us directly by e-mail at claire.rgpd@cosmosforhumanity.org.

a) Newsletter tool from abroad such as "Mailchimp".
The newsletter is sent by means of "MailChimp", a newsletter sending platform of the US provider Rocket Science Group, LLC, 675 Ponce De Leon Ave NE #5000, Atlanta, GA 30308, USA.
The e-mail addresses of our newsletter recipients, as well as their other data described in these instructions, are stored on MailChimp's servers in the USA. MailChimp uses this information to send and evaluate the newsletter on our behalf. In addition, according to its own information, MailChimp may use this data to optimize or improve its own services, for example to technically optimize the sending and presentation of newsletters or for economic purposes, to determine from which countries the recipients originate. MailChimp does not, however, use the data of our newsletter recipients to contact them themselves or pass them on to third parties.
We trust MailChimp's reliability and data security. MailChimp is certified under the US-EU "Privacy Shield" data protection agreement and is thus committed to complying with EU data protection guidelines. 11) No automated decisions, including profiling, with legal effects
We do not make any decisions about you that are based exclusively on automated processing - including profiling - and that produce legal effects with respect to you or significantly affect you in a similar way.


12) Data security
Cosmos for Humanity has implemented organizational and technical measures to preserve the security of personal data and to protect them against unauthorized or unlawful processing, accidental loss, alteration, disclosure or access.
Cosmos for humanity may use third-party data processors to collect and process your personal data. The data processors we use will only process your personal data in accordance with our instructions and are required by law to take strict security measures when processing personal data.
Unfortunately, the transmission of information via the Internet is not totally secure. Although we make every effort to protect your personal data, we cannot guarantee the security of any data you transmit to our website; every transmission is at your own risk. This is why you are always free to transmit your personal data to us by other means, for example by telephone. Once we have received your data, we apply strict procedures and rigorous security measures to prevent unauthorized access.

13) Third party privacy statements
Please note that if you click on a link to a third-party site (for example Google or social media or other websites), you will be redirected to a site that we do not control and our privacy statement will no longer apply. Your browsing and interaction on another website is subject to the terms of use and privacy statements and notices of those third-party websites. Furthermore, we cannot guarantee the accuracy and timeliness of these links.
We recommend that you carefully read the terms of use and data protection declarations and notices of other websites before transmitting personal data via this website. We are neither responsible nor liable for the information content and data processing of these third-party websites.

14) Children
Our website is not intended for children and we do not knowingly collect personal data from children under the age of 16 unless we have the express consent of their parents. If we are informed or otherwise become aware that the personal data of a child under the age of 16 has been improperly collected, we will take all reasonable steps to delete such personal data.

15) What are your rights?
You may ask Cosmos for Humanity to inform you whether your personal data is being processed, providing proof of your identity. In addition, you have the right to request the rectification, destruction or limitation of your personal data, as well as to object to the processing of your personal data.  If processing is based on your consent or on our legitimate interests, you may withdraw your consent or object to processing at any time by contacting us directly by e-mail at the following address: claire.rgpd@cosmosforhumanity.org. In certain cases, you have the right to receive personal data generated by the use of online services in a structured, shared and machine-readable format, so as to enable subsequent use and transfer to a possible third-party supplier.
Requests to this effect should be addressed to Cosmos for Humanity, at the following e-mail address: claire.rgpd@cosmosforhumanity.org. Cosmos for Humanity reserves the right to restrict your rights under applicable law, for example by withholding complete information or deleting personal data. Please note that even if you ask us to delete your personal data, we will have to retain all or part of it in order to comply with legal and contractual retention obligations. Deleting your personal data may result in you no longer being able to use our services.
In addition, if we refuse your request or if you are dissatisfied with our processing, you have the right to lodge a complaint with the competent supervisory authority and to lodge an appeal with the competent authority. The competent authority is the Federal Data Protection and Information Commissioner (FDPIC) in Bern (http://www.edoeb.admin.ch).

16) Changes to our privacy statement
Cosmos for Humanity reserves the right to amend, supplement or otherwise modify this privacy statement at any time and without giving reasons. The data protection declaration in force at the time of publication on the portal shall apply.
